Where an account comes from
From a won lead in Leads and pipeline, not from being typed in here. That is deliberate. An account with no lead behind it is revenue with no source, and the question of which channels produce closed revenue has a hole in it for exactly as long as that record exists.
What to do first
Open an account and read its standing. It is either On schedule or Payment overdue, and an instalment becomes overdue on its own on the morning it is overdue rather than when somebody notices.
The summary
Across the top: total contracted across all payment plans, how many accounts are overdue, and how much is past due behind them.
An account
What they bought, in one line, including how many if it is a quantity and not a one of a kind item.
The payment plan. The number of instalments, the deposit percentage, and how many have been received. The schedule is generated from the contract value and the plan length, so a plan can never disagree with what was sold.
The instalment schedule. One row per instalment with its date, its amount, its state, and the receipt reference once it has been paid.
Documents issued. Everything that has gone to this client: an allocation letter, a signed contract, a survey plan. They are added here and are readable from the Knowledge Base as well, because it is one file with two ways to find it.
Recording a payment
Record against the next instalment, or against a specific one. Rople writes the receipt reference and moves the account's standing if that clears the arrears.
If a payment was matched to the wrong account, the last instalment can be reversed. It asks you to confirm, because a reversal is a correction to the record rather than a way of undoing a typo.
How it connects
- The account was opened by winning a lead in Leads and pipeline.
- What it bought is a line in Inventory, which is what makes that line unavailable.
- The project it belongs to is in Projects, and the account's contract value is part of the revenue that project is measured against.
- Overdue instalments raise collections in My Work.
- Cash collected and receivables feed Finance and Insights.
Common questions
Can I create an account without a lead? No. Create the lead, win it, and the account opens with the attribution intact.
Can I change a payment plan after it is set? The schedule is generated from the contract value and the plan length, so changing either regenerates it. What has already been received stays received.
Why is an account overdue when the client has paid? Because the payment has not been recorded against the instalment. Recording it clears the standing.
