Admin

are level 4.

The organisation, its people and its records. Admin opens at level 3 so a manager can see the organisation without being the workspace owner. The screens inside it that change what other people can do stay at level 4.

Organisation

Nine sections:

  • Company profile. Name, logo, and the details that appear across the product.
  • Individual defaults. What a new person starts with.
  • Approvals. Who has to say yes before something happens: the purchase approval chain, who may record a sale, and who may delete a lost lead.
  • Relationships. How the workspace looks after its clients: which department handles relationships (its members are the care officers), how often a care officer checks in by default, how long a client may be silent before reading as Dormant, whether birthday, purchase-anniversary and new-product reminders are sent and how many days ahead, and the extra details every new Client Care Profile starts with. An org admin or the workspace owner can change these; everybody in Admin can read them.
  • Levels. The ladder, what each level is called, and what somebody at that level does.
  • Departments. The departments the company has. These matter beyond organisation charts, because module access is granted to departments.
  • Teams. Teams within departments.
  • Competency framework. What Reviews rates against and what Recognition badges map to.
  • Recognition badges. The badges people can give, grouped.

People

Every member of the workspace, with their role, their level, their department, their team and their manager. This is where somebody is invited, where their reporting line is set, and where their role changes.

There are three roles: team member, manager, and organisation admin. The owner is a fourth and there is one of them.

This screen is also where the team invite link lives. One link the whole company can use, with an optional email domain restriction, an optional expiry and an optional maximum number of uses. Every redemption is recorded.

Module access

Rople has two access dials and they answer different questions.

The role, set per person on the People screen, decides what somebody may do.

The department, set here, decides what they may see.

Both are needed. A graphic designer and a management accountant can sit at the same level and hold the same authority while having no business in each other's modules. Without this screen the only lever would be the level, and giving Insights to the executive suite would mean raising it above every senior manager who is not an executive.

A module is either open, meaning everybody the role rules admit can see it, or restricted to named departments. Restricting is one act: tick the departments that should have it, and everybody else loses it. Untick them all and it goes back to open.

Review cycles

Where a cycle is created, its windows set, and its phases moved along. The work inside a cycle happens in the Reviews module.

Probation tracker

Onboarding milestones and probation outcomes for people still in their first period.

Compliance and the audit trail

Every settings change, every user update and every data export, with who did it and when. It is the screen that answers "who changed this", and it is why exports are worth recording.

Billing

Plan, invoices, payment method and bank connection.

Live CV

A continuously updated profile built from what somebody has actually done in the workspace.

How it connects

  • Departments set here are what Module access grants against.
  • Levels and the competency framework are what Talent and Reviews use.
  • Badges are what Recognition offers.
  • The reporting line is what Manager Cockpit and notification routing read.

Common questions

Somebody cannot see a module they should. Check two things: their role on the People screen, and whether the module is restricted to departments their department is not in.

Can a manager change somebody's role? No. That is level 4, and the API refuses it as well as hiding the screen. A hidden link is not a closed door, so both halves exist.

What happens to somebody's records when they leave? The records stay with the workspace. Removing a person removes their access.

Where do I mint the invite link? On the People screen. The first run prompt on Home points at the same control.
